This page sets out the consent language shown to users during sign-up and before a credit check is requested. Each consent block is a separate, granular consent as required by POPIA.
How to use this document
Each block below represents a distinct consent moment in the user journey. Implement these as separate, tappable checkboxes — never pre-ticked, never bundled into one "I agree to everything" checkbox. Required consents gate the action they enable. Optional consents (Gold, marketing) must never gate core functionality.
Block 1 — Identity verification consent (required at sign-up)
Shown on the sign-up KYC screen before the user uploads their ID document and takes the liveness selfie. This consent is required to create a verified account.

I authorise RentBid (Pty) Ltd to collect and verify my South African identity document, proof of residential address, and a liveness check (selfie or short video) for the purpose of verifying my identity on the RentBid platform. I confirm that the documents I am providing are genuine, accurate, and belong to me. I understand that submitting a false or another person's identity document is a criminal offence.
This information will be stored securely, used only to verify my identity, and will not be sold to third parties. I may request deletion of my verification documents by contacting info@rentbid.co.za, subject to our data retention obligations.

Block 2 — Landlord ownership consent (required for landlords at sign-up)
Shown in addition to Block 1 when the user selects "landlord" during registration. Required before a property can be listed.

I confirm that I am the registered owner of any property I list on RentBid, or that I hold a current, written mandate from the registered owner authorising me to let the property on their behalf. I understand that listing a property I am not authorised to let is a breach of these Terms and may constitute fraud.

Block 3 — Credit & affordability check consent (optional, per application)
Shown when a tenant chooses to add a credit check to their application (the R250 vetting option). Must be a separate, explicit consent — this is a requirement of both POPIA and the National Credit Act. Never pre-selected.

I consent to a credit and affordability check
I authorise RentBid (Pty) Ltd to obtain a credit and affordability report in respect of myself from [registered credit bureau name and registration number], a credit bureau registered with the National Credit Regulator under the National Credit Act 34 of 2005.
I understand that:
(a) This check will result in a credit enquiry recorded on my credit profile;
(b) The report will be used solely to assess my suitability as a rental applicant on the RentBid platform;
(c) The report will be shared with landlords whose properties I apply for during the validity period;
(d) The report is treated as current for 30 days from the date of issue, after which a new report must be obtained;
(e) The R250 vetting fee is non-refundable once the report has been ordered;
(f) I may request a copy of my report and dispute any inaccuracies directly with the credit bureau;
(g) I may withdraw this consent at any time, but doing so will remove the vetting report from my profile and may affect the strength of future applications.

Confirm the exact wording of the credit bureau's own consent language under the NCA and align Block 3 with it. The bureau may have a prescribed consent form that must be incorporated verbatim. Also confirm that [credit bureau name] is correctly registered with the NCR.
Block 4 — Marketing consent (optional, at sign-up)
Must be a separate optional checkbox — never bundled with the identity or service consent. The user can use the full platform without ticking this.

5. Implementation notes for developers
- Each checkbox must be unchecked by default and requires an affirmative user action.
- The consent timestamp, IP address, and checkbox state must be recorded in the database at the moment of submission and stored for the duration of the processing relationship plus any applicable retention period.
- Blocks 1 and 2 gate the relevant functionality (verified account; property listing). Blocks 3 and 4 must never gate any core feature.
- The credit bureau's name and NCR registration number in Block 3 must be confirmed and inserted before go-live.
- A record of which version of this consent language was in effect at the time of each user's consent must be maintained.
Good practice — record of consent
Store for each consent: user ID, consent version ID, timestamp (UTC), IP address, and the checkbox state. This is the evidence you will need if a data subject or regulator ever asks whether consent was properly obtained.
